Privacy Policy for Tidewell

This Privacy Policy explains how Tidewell (the "App") handles personal data. The App is developed and published by Deniz Uyanık ("we", "us", "our", the "Publisher"). The Publisher is an independent developer and is not part of Wix.
Tidewell is a business tool. It runs on a Wix website owned by a gym, fitness studio, wellness centre or spa (the "Club"). Most of the personal data in the App belongs to the Club's members and staff and is entered by the Club. For that data, the Club decides why and how it is used, and we only provide the software. This policy explains both roles.
Please read it together with our Terms and Conditions and the Wix terms and privacy policy that apply to your Wix site.
1. Who is responsible for what

2. Data processed on the Club's behalf
The Club chooses what to record. Typically, Tidewell holds the following.
About members, leads and guests - Identity and contact details: name, phone number, email, gender, date of birth, city, address, company. - Membership and sales information: plan, dates, fees, discounts, payment method and amounts, package credits, trial and gift sessions, renewals and freezes. - Signed agreements: the agreement text that was signed, the name typed by the member, the date and time, the IP address the member signed from, and the consent given. - Activity records: appointments, call and contact notes, follow-up dates, survey ratings and comments, visit records, assigned sales representative. - Training information, if the Club uses workout cards: goals, fitness level and session notes. This can be health-related. Clubs should record only what they need and have a lawful basis to hold it.
About staff - Name, email, phone, role, department, position, hire date, line manager, job description. - Work schedule, days off and leave. - Attendance: check-in and check-out times recorded with the rotating QR code. - Commission rates and amounts, productivity scores, performance reviews. - An audit trail of which staff member changed what, and when. - The Wix site-member identifier that links a sign-in to a staff record.
Club settings - Business details, opening hours, sender name and reply-to email, logo address. - Integration credentials that the Club chooses to store. These are write-only: once saved, they are not shown again.
3. How the App uses this data
The App uses the data only to provide the features the Club has turned on: reception and booking, sales and membership management, digital agreements, cash registers and expenses, staff scheduling, attendance and performance, housekeeping, workout cards, surveys, reports and exports.
The App does not use Club data for advertising, profiling for our own purposes, or to build our own contact lists. We do not sell it.
Automatic scoring. Tidewell can calculate a productivity score for staff from attendance, work records and survey ratings, and it writes an explanation of how the score was reached. The score is a management aid. It is not designed to be the only basis for decisions about pay, discipline or employment, and the Club remains responsible for how it uses it.
4. Where the data is stored, and who else is involved

  • In the Club's own Wix site. Tidewell stores its data in collections owned by the App inside the Club's Wix site. The App runs on Wix's infrastructure.

  • In Wix features the App uses on the Club's behalf. Members and leads are also saved as Wix Contacts. Services, staff resources and appointments live in Wix Bookings. Staff accounts are Wix site members, and sign-in and password handling are done entirely by Wix. Renewal and win-back emails are sent through Wix Automations.

  • Wix. Wix's own privacy policy and data-processing terms apply to everything Wix hosts or processes.

  • No other recipients. The App does not send Club data to analytics, advertising or other third-party services. Technical calls from the App go to Wix.

  • Messages the Club sends itself. The WhatsApp and Email buttons on the Renewals screen open the staff member's own WhatsApp or email program with a prefilled message. The message is sent by the Club, not by the App.

5. What we receive and keep as controller
When a Club installs and uses the App, we may receive from Wix, or from the Club:

  • the Wix site and app-installation identifiers, the plan and billing status of the subscription, and the site owner's contact details that Wix shares with app developers;

  • the messages and files the Club sends to our support address (currently denizuyanik@gmail.com), including the Club's name, email address and any details it chooses to share.

We use this to provide and secure the App, to give support, to keep records and to meet legal obligations. Our legal bases, where they apply, are performing our contract with the Club, our legitimate interest in running and protecting the App, and compliance with the law.
Support access to data. We do not routinely read a Club's records. If a support request needs us to look at data, we will ask first and look only at what is necessary. Please remove or hide personal data in screenshots you send us.
6. Cookies and browser storage
The App's pages run inside the Club's website. They do not set advertising or analytics cookies. The App stores a few preferences in the browser's local storage, on that device only:

  • the chosen language and display currency;

  • the light or dark theme of the Sales panel;

  • a customised renewal-reminder message;

  • small flags such as which notices have already been shown.

You can clear them in your browser at any time. The Club's own website and Wix may set their own cookies. Those are covered by the Club's and Wix's policies.
7. Public links
Two kinds of links work without signing in: an agreement-signing link and a survey link. Each contains a random one-time code that is the only credential. Agreement links expire after 24 hours. Anyone who has the link can use it, so the Club should send a link only to the person it is meant for. Using such a link records only what the page asks for (for example the typed name, the consent and the rating) and, for agreements, the IP address and time of signing.
8. Security
We take reasonable measures to protect the App and the data it handles, including:

  • sign-in handled by Wix, with no passwords stored by us;

  • role-based and page-based access enforced on the server, not only in the screens, so only people with an active staff record can open the portal;

  • secrets that the Club stores for integrations are write-only;

  • random, single-purpose tokens for public links, with expiry for agreements;

  • an audit log of changes made in the App;

  • all traffic over HTTPS, as provided by Wix.

No system is completely secure. If we become aware of a personal-data breach that affects Club data, we will tell the affected Club [without undue delay / within X hours] so it can meet its own obligations.
9. How long data is kept

  • Club data stays in the Club's Wix site until the Club deletes it. Managers can export most data as CSV from the Data Backup & Export screen. The Club is responsible for deciding how long to keep records about its members and staff.

  • After the Club uninstalls the App: [state what happens to the App's data on uninstall, once confirmed with Wix].

  • Support messages and our own records are kept for as long as needed to give support and to meet legal obligations, then deleted or anonymised [state period].

The App currently has no one-click tool that erases all data. To request deletion, contact us at denizuyanik@gmail.com.
10. International transfers
Wix operates globally, so Club data may be stored and processed in countries other than the Club's own. Wix is responsible for the safeguards that apply to its hosting and services. If we transfer personal data that we control, we will use appropriate safeguards where the law requires them.
11. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or object to the processing of your personal data, to receive a copy of it in a portable format, and to withdraw consent. You also have the right to complain to your local data-protection authority.

  • For data in a Club's Tidewell account (as a member or staff member), contact the Club. If you contact us instead, we will pass your request to the Club where we can, and we will not respond on the Club's behalf without its instruction.

  • For data we control (section 5), contact us at denizuyanik@gmail.com.

12. The Club's responsibilities
If you are a Club using Tidewell, you are responsible for: having a lawful basis for each kind of data you record; giving your members and staff the notices the law requires; obtaining consents where needed, including for electronic agreements, marketing messages and any staff monitoring; recording sensitive data only when necessary and lawful; limiting who has access, by choosing roles and page permissions carefully; removing access for people who leave; and answering requests from your members and staff. The privacy disclosure and consent text shown to members when they sign an agreement is written by you. Make sure it matches your local law.

13. Children
Tidewell is for businesses. It is not directed at children. A Club may record data about members who are minors, for example for junior memberships. The Club is then responsible for the extra care and consents that the law requires.
14. Changes to this policy
We may update this policy from time to time. If a change is material, we will tell you by email, through Wix or inside the App, and update the "Last updated" date. The current version is always available at [PRIVACY POLICY].
